Job Description
Our client in the energy sector is looking for an Administrator/Receptionist to oversee the
day-to-day management of the office including but not limited to Clerical and front office
duties. The job holder will ensure that all office administrative functions are coordinated to
achieve a high level of productivity within the company.
The main objective of this role is to coordinate office activities and operations to secure
efficiency and compliance to company policies. The job holder will also ensure that the front
office is running smoothly through coordinating and implementing reception and office
procedures.
Key Roles and Responsibilities.
- Coordinate office activities and operations to secure efficiency and compliance.
- Welcoming visitors and directing them to the relevant office/personnel.
- Supervise administrative staff and divide responsibilities to ensure performance
- Manage agendas/travel arrangements/appointments etc. for the upper
management - Manage phone calls and correspondence (e-mail, letters, packages etc.)
- Support budgeting and bookkeeping procedures
- Create and update records and databases with personnel, financial and other data
- Maintains office efficiency by planning and implementing office systems, layouts,
and equipment procurement. - Track stocks of office supplies and place orders when necessary and ensure that all
necessary office stationery and utilities are available and accounted for - Provides historical reference by defining procedures for retention, protection,
retrieval, transfer, and disposal of records. - Designing filing systems
- Submit timely reports and prepare presentations as assigned
- Ensure security, integrity and confidentiality of data
- Ensure renewal of all office and trading licenses and certifications in good time
- Ensure payment of rent and utilities in good time
- Maintain a safe and secure working environment and enforce any Health & Safety
requirements - Handling logistics and other travel arrangements for staff and visitors
- Management of Directors’ diary and personal assignments
- Vendor management
- Manage costs to minimal levels
- Any other duty as may be assigned from time to time
Job Requirements and Qualifications
- Business Degree or Diploma in Business Administration/Management or any related
field - Microsoft Office Packages
- Knowledge management practices and procedures
- Knowledge of business and management principles
